CleaningWe build yours

Your whole week in one place, not in a notebook.

When a cleaner calls out at 6:30, the client hears it from you first, not at 6 in the evening in a house nobody cleaned. Every house’s keys, codes and dogs are on your phone, every reply to your reminders lands in one place, and you know who paid. The one-tap messages go from your own WhatsApp or texts and don’t wait on anyone’s approval.

What it's costing you

Where a cleaning company’s week really goes

At 6:30 one of my cleaners says she can’t come, and the 9 o’clock house is still on.

The client usually isn’t home. She finds out at 6 in the evening, when she walks into a house nobody cleaned, and that’s the house you lose.

The fix: Today’s houses are on your phone, crew by crew, with which clients have been told. One tap writes “One of our team is out today, so we’re running about 2 hours late: we’ll be there around 11” and you send it from your own WhatsApp or texts before she’s waiting. Her answer comes back to your phone; one more tap moves the house to 11, and another tells the crew. Nothing waits on any approval.
Owner app · from Starter

The client changed the alarm code and nobody told me.

The crew stands at a locked door, the house doesn’t get cleaned, and the rest of the day slides.

The fix: Every house keeps its card on your phone: the key on your ring, the lockbox, the garage and alarm codes (hidden until you tap), the dog, “no bleach on the marble”. The day-before reminder asks if anything changed and asks clients never to text a code, so you hear about it a day early and call for it. Reminders go to clients who said yes to texts, once the phone companies approve your texting.
Houses & reminders · from Starter

She answered the reminder to skip this week, and nobody saw it.

The crew drives to a house that didn’t want a clean, a crew paid by the clean loses that house, and the spot could have gone to a move-out.

The fix: Replies to reminders land in one place, and “skip us this week” shows up as a skip the day before. One tap writes the notice to that crew’s WhatsApp group from your own phone, and the open spot goes to a client who asked for an extra clean or a move-out waiting on a date.
Houses & reminders · from Starter

They ask for a move-out price while we’re cleaning, and by afternoon they’ve hired someone else.

A move-out fills an open spot, and when her last cleaner flaked, it can turn into a house every other week.

The fix: Once the phone companies approve your texting (usually 1 to 4 weeks), a missed call or text from a new number gets an answer in seconds: your questions (rooms, baths, when the keys go back, photos) and a time held for her. You send the price, and nothing is booked until she says yes to it. Your regular clients never get that script: their texts come straight to you. In every package, one tap sends a check-in from your own phone; from Growth, a quote that goes quiet gets two friendly follow-ups on a schedule, then stops on its own.
Missed calls · from Starter

Friday night I’m still adding up who paid cash and who said she’d send a Zelle.

Houses pay at the door. When nobody is home, the envelope isn’t there or the Zelle never comes, and you find out a week later.

The fix: Every house has a paid / pending mark, cash or Zelle, and one list shows who still owes and how much. It’s a record for you, in every package. We never touch your money; card payments by text are a Scale option if you ever want them.

What starts when

What works on day one, and what waits on the phone companies

There are two kinds of messages here, and we tell you which is which before you sign.

  • Day one, every package: your houses copied in from your notebook, every house’s card, who paid, and the one-tap messages (“running late”, “all done, alarm set”, the skip notice to a crew) sent from your own WhatsApp or texts.
  • Once the phone companies approve your texting (usually 1 to 4 weeks): the day-before reminders and the answers to new quote requests, only to people who said yes to texts.
  • Your crews stay on WhatsApp like today. They don’t download anything, and we don’t ask for their papers.

Missed calls texted backStarter

The 2:40 move-out request from a new number gets your questions and a time held in seconds, while every crew is working. Your regular clients never get that script.

A call you can’t pick up gets a text back within seconds — in English or Spanish — and the conversation carries on without you.

It answers a missed call or a text from a new number in a few seconds, with your own quote questions and a time held. Your regular clients’ texts come straight to you instead. It never asks for keys or codes, and it never sends a price you didn’t set. It starts once the phone companies approve your texting (usually 1 to 4 weeks).

Your houses & remindersStarter

Every recurring house on its day, with its card. The day-before reminder asks what changed, and a “skip us this week” shows up as a skip.

Every recurring house sits on its day (weekly, every other week, monthly) with its card: keys, codes, the dog, the notes. The day before, clients who said yes to texts get a reminder that asks if anything changed, and the replies come back to you in one place: “skip us this week” shows as a skip, and “we changed the alarm code” tells you to call. Reminders are automatic texts, so they start once the phone companies approve your texting (usually 1 to 4 weeks). If you already use cleaning software, we check how it connects with you before we promise anything.

Your week on one phone: today’s houses by crew, every house’s card (keys, codes hidden until you tap, the dog, the notes), who’s been told, the skips and who paid.

Every call, message, booking and review in one place on your phone — in every package.

One app on your phone for your week: today’s houses by crew, every house’s keys, codes and dog, which clients have been told, the skips and who paid this week, cash or Zelle. The late notice and the skip notice open your own WhatsApp (or your texts) with the words already written, in every package, with no carrier wait. We load it from your notebook; you just open it.

Your website, built and kept currentStarter

Your services (recurring, deep cleans, move-outs, offices), your areas and a quote button, kept current by us.

A website that books and answers for you — one page on Starter, a full site on Growth, plus ad landing pages on Scale and a page per location on Total.

We build it, host it and keep it current, so it never goes stale. Starter gets a clean one-page site; Growth gets the full site; Scale adds the landing pages your ads point to; Total Transformation adds a page for every location. It carries the same booking and answering as your phone, and it is yours.

Live voice answeringGrowth

Most cleaning clients text, so Starter answers by text. From Growth, a call while every crew is out gets picked up out loud by your AI assistant, which says so.

Your phone gets picked up out loud, day or night, by your AI assistant, which says so. 500 talk-minutes a month, more at Scale.

A natural voice picks up, says it is an AI assistant so nobody is misled, answers what it knows, and books what it can. Anything it should not handle stops and comes straight to you as a text, so nobody gets a wrong answer about your business.

An assistant on your websiteGrowth

The 9 PM “do you bring your own supplies?” or “do you do move-outs?” gets your approved answer and a quote request, while they’re still on your page.

The people comparing you to two other companies get their questions answered on the spot instead of leaving.

Quotes chased until you get an answerGrowth

The move-out or deep-clean quote that went quiet gets two friendly follow-ups on a schedule, then stops on its own, and right away at “no” or “we already hired someone”. A one-tap check-in from your own phone comes with every package.

Every quote and lead is followed up on a schedule until it’s a yes or a no — the part that always gets dropped.

Customers brought back when they’re dueGrowth

The deep clean before the holidays, offered to clients who said yes to texts. If your book is full, leave it off.

Rebooking on their natural cycle, win-backs, and day-after check-ins — the customers you already earned, brought back before they drift.

Every business has a natural cycle — the next service, the next visit, the next season. This watches the calendar for you: the customer who is due gets the rebooking text, the one who went quiet gets the win-back, and the day-after check-in catches a problem while it is still small. Texts only go to customers who said yes to them, at the hours the law allows. None of it is written by you.

Your week and your money, in one app

A made-up cleaning company’s week: every crew day by day, who paid at the door and who still owes, the quotes waiting on a yes, and the morning’s call-out on top. It doesn’t change with the level above. Crews, house cards, who paid and one-tap messages from your own phone come with every package; automatic reminders and replies start at Starter once the phone companies approve your texting; quote follow-up starts at Growth; card payments at Scale. The clients are made up.

How it sounds to your client: like your office on a good day. Short, warm, in English or Spanish, whichever she writes in. It says up front it’s your company’s AI assistant and never pretends to be you. It answers new numbers asking for a price, asks your own questions (rooms, baths, when the keys go back, photos) and never gives a price you didn’t set. It never asks for keys or codes: anything about access or a complaint comes straight to you as a text. The late notice, the skip notice and “all done” are different: you send those yourself, with one tap, from your own phone.

You don’t set any of this up. We do.

You don’t type in a single house. We copy your notebook in: every client, her address, the key or lockbox, the alarm and garage codes, the dog, the every-other-Tuesday and the “no bleach on the marble”. We write the reminder, the late notice and the quote questions with you, and nothing reaches a client until you approve it.

You never touch the tech. We keep you on the latest business systems — most of them AI-driven now — and upgrade them as they change. If something needs changing, you tell us and we change it. That’s the entire job.

About calls: most cleaning clients text, so Starter answers by text. If you want calls picked up out loud, that starts at Growth with 500 talk-minutes a month (roughly 250–300 calls). If you run past it, callers get a text and your own line until you okay more. We tell you before you hit it, never after.

For Cleaning

Built around your houses, not around appointments

A cleaning company runs on the same houses every week and the mornings that break the plan. Your houses and their notes on one phone, the late notice in one tap, the skip seen in time, the move-out answered while you clean, and who paid this week.

New to your trade, not new to the work. HVAC, plumbing and roofing already run on this exact system. For Cleaning we build the same engine around how you work — and you approve every word before it answers a single customer.

The Cleaning blueprint

What's actually inside it

Your blueprint is the written plan for your houses, your reminders and your texts: what each house’s card keeps, what the reminder and the late notice say, what a quote request gets asked, and when it follows up. You read it and approve it before anything turns on.

We've mapped this trade and this is the shape your setup takes. We build it around how you actually work, you approve it, then we run it. (Our fully built-out blueprints today are HVAC, plumbing and roofing — yours gets built with you.)

  1. Every recurring house on its day (weekly, every other week, monthly) with its card: the key on your ring, the lockbox, garage and alarm codes kept hidden, pets, “no bleach on the marble”, who paid
  2. One-tap messages written for you and sent from your own WhatsApp or texts: “running about 2 hours late”, “all done, alarm set”, and the skip notice to a crew’s group
  3. The day-before reminder that asks what changed (and asks clients never to text a code), with every reply in one place, so a skip is seen in time and the open spot can go to someone who asked
  4. Answers to new quote requests: your questions (rooms, baths, when the keys go back, photos), a time held, and your price before anything is booked
  5. Quote follow-up for move-outs and deep cleans: two friendly nudges, then it stops on its own, and right away at “no” or “we already hired someone” (from Growth)
  6. One review ask per client, the morning after her first clean. Never every week, and the same ask to everyone

The question we always get

“I have my notebook and WhatsApp, and it works.”

Keep both. Your crews stay on WhatsApp like today and nobody downloads anything. We copy your notebook in, so every house’s notes live on your phone, and the late notice, the skip notice and “all done” go from your own WhatsApp with one tap. What changes is that every reply to your reminders lands in one place, and every house has its card.

How it works

You approve it once. Then it just runs.

1

We learn your business

A short conversation, after the houses are done, about your houses, your crews and where the week slips.

2

We set up your department

We start from the cleaning blueprint and shape it to you: your houses and their notes, the reminders, the late notice, the quote answers, the review ask.

3

You sign off, we run it

Nothing goes live until you've seen it and said yes. After that it's ours to run, watch, and keep current.

Everyone else hands you a login.

Cleaning owners compare us with cleaning software they run themselves, and with the notebook and WhatsApp they already have. Keep your software if it works for you. Here’s the honest difference.

How cleaning software, a notebook with WhatsApp, and SANO Systems compare
WhatCleaning software you run yourselfYour notebook and WhatsAppSANO Systems
The 6:30 call-out Holds the schedule, if you keep it current You text each client by hand, if you get to it One tap writes the late notice; you send it from your own phone

Questions

Cleaning, answered

Can it make my cleaners show up?
No system can. What it does is make sure the client hears it from you before she’s waiting: one tap writes the late notice with who’s coming and when, and you send it from your own WhatsApp or texts. No GPS and no clock-in.
Do my cleaners have to download anything?
No. Your crews stay on WhatsApp like today. In your app, every package shows your houses by crew, moved with one tap, and a count of houses per crew each week for your pay math (not payroll). You tell a crew about a change with one tap, from your own WhatsApp, in Spanish. We don’t ask for their names or their papers.
Who can see my clients’ alarm codes?
Only who you decide. Your assistant never asks for keys or codes, and the reminder asks clients never to text one. Codes live on each house’s card in your app, hidden until you tap. Every package includes you and one office person (your sister, your husband), each with your own login; whether that person sees codes is your call.
Can it handle recurring clients?
Yes. Weekly, every other week or monthly, each client who said yes to texts gets the reminder the day before (it starts once the phone companies approve your texting). A “skip us this week” shows up as a skip, so you can offer that spot to someone else. When a client cancels her service, her reminders stop that same day.
Will it send prices?
Not on its own. It asks your questions and holds a time; you send the price, and nothing is booked until she says yes to it. A price range goes out only from your own price sheet, and only if you turn that on.
Will my regular clients start getting messages from a robot?
No. Your AI assistant answers only new numbers asking for a price, and it says so. Your regulars get the day-before reminder and an automatic “got it” when they reply SKIP, both marked as automatic, once texting is approved; anything else they text comes straight to you. The late notice, the skip notice and “all done” are yours, sent from your own phone.
Does it keep track of who paid?
Yes, in every package: a paid / pending mark on every house, cash or Zelle, and a list of who still owes. We never touch the money. Card payments by text are a Scale option.
I already use cleaning software. Do I have to switch?
No. We don’t replace it on day one. What we add is that replies get seen, in English or Spanish, the house notes live on your phone, and the messages go out in one tap. Whether it connects to your software is something we check with you before we promise it.
What about the offices I clean at night?
They sit on the same schedule as your houses, with their notes: the alarm, who locks up, which nights. From Growth, a bid that goes quiet gets followed up; from Scale, the monthly invoice goes out by text and gets paid from a phone.
You haven't built a Cleaning one yet — am I the experiment?
Straight answer: you'd be among the first in your trade, and we're not going to pretend otherwise. Here's what protects you. You approve a written plan before we build anything — that document is what we're held to. You can pay the setup in full or in two payments (half to begin, half when it starts answering), and if we miss the plan, the second half is on us. The money-back guarantee runs 30 days from when it starts answering, not from signing, so a longer build never eats it. And the ones we've already built share most of the machinery — what changes is the wording and the timing, not the engine.
